Improving Productivity in the Office with Printers
Giving employees easy access to copy and printing facilities can save a company significant amounts of money in time saved and reduced waste. When deciding the ideal number of photocopiers required to service an office, take into account the number of employees who will be using it, the number of copies each employee will print per day and the office layout. With careful planning in both the purchasing and placement stages, the investment an office photocopier will represent will quickly pay for itself.
Backlogs at copy machines lead to a loss of employee productivity. For each member of your staff, calculate the average number of copies they will print per day. If a large volume is produced, select a photocopier that features high page per minute rates. Shared photocopiers should be placed near the groups that will use the copier most. Talk to them about the necessity of collating, scanning and job storing functions to find a model that will best fit their needs.
If most of the copies that are printed are used internally, choose a photocopier that offers double sided printing. Double sided print capabilities will result in saving money on paper costs as well as keeping in line with a company�s sustainability efforts. For internal memos, encourage employees to use a black and white printer set on a low quality. This will often increase a photocopiers page output per minute and reduce expensive ink use. Some offices choose to provide each employee with a desktop printer/ copier. Models are less expensive than large, multifunctional copiers, but they usually print more slowly and would each require individual up keep. They may be best for those with isolated offices and moderate printing needs.
